Team Members & Seats

Invite your team, assign the right roles, and understand how seat limits work across plans.

How seats work

Every person in your workspace — Owner, Admin, Reviewer, or Viewer — occupies one seat. Your plan determines the total number of seats available. When you reach the limit, you must upgrade to add more members.

Seat limits are hard caps — there is no per-seat overage billing. When the limit is reached, new invites are blocked until the workspace upgrades. Existing members are never removed automatically.

Roles

Each member has a role that controls what they can see and do. Assign the most restrictive role that still lets the person do their job.

Owner

1 per workspace
  • Everything Admins can do
  • Manage billing and subscriptions
  • Delete the workspace
  • Transfer workspace ownership

Created automatically when a workspace is created. Cannot be invited — ownership can only be transferred.

Admin

Multiple allowed
  • Approve, reject, and modify requests
  • Manage rules, integrations, and settings
  • Invite and remove team members
  • View full analytics

Best for team leads and operations managers who configure and oversee the workspace.

Reviewer

Multiple allowed
  • Approve, reject, and modify requests
  • View the shared inbox and history
  • Add internal notes on requests
  • Manage their own Out of Office settings

The day-to-day approver role. No access to configuration, billing, or analytics.

Viewer

Multiple allowed · Business+
  • View the approval inbox (read-only)
  • View full request history
  • View analytics

Designed for auditors and compliance officers who need visibility without decision-making power. Requires the Business plan.

Inviting team members

Only Owners and Admins can invite new members. To invite someone:

  1. 1Go to Settings → Team.
  2. 2Click Invite member and enter their email address.
  3. 3Choose a role — Admin, Reviewer, or Viewer.
  4. 4Click Send invite. They receive an email with a link to accept.
  5. 5Once they click the link and set a password, they are added to your workspace and their seat is counted.
Pending invites hold a seat. Once an invite is sent, that seat is reserved — even before the person accepts. If you send an invite and then hit your seat limit, the invite is still valid but no further invites can be sent until someone is removed or the plan is upgraded.

Removing members

Owners and Admins can remove any member from the workspace at any time from Settings → Team. Removing a member immediately frees their seat. Their previous decisions and internal notes remain in the workspace history — member data is never deleted when someone leaves.

A removed member can be re-invited at any time as long as a seat is available.

Common questions

Can a Reviewer be in more than one workspace?

Yes. A single Cheqpoint account can be a member of multiple workspaces with different roles in each. They switch between workspaces using the workspace switcher in the sidebar.

Can the Owner change their own role?

No. The Owner role cannot be changed via the team settings. To transfer ownership, go to Settings → Team → Transfer ownership. The new owner must already be an Admin in the workspace.

What happens to open requests if a reviewer is removed?

Open requests previously assigned to a removed reviewer go back to the shared inbox (unassigned). Other Reviewers and Admins can still act on them.

Can a Reviewer upgrade the workspace plan?

No. Only the Owner can access billing and upgrade the plan. Reviewers and Viewers have no access to the Billing page.

Does the Viewer role count as a seat?

Yes. Every role — Owner, Admin, Reviewer, and Viewer — counts as one seat. The Viewer role is only available on the Business plan.
